Privacy policy

Draft for legal review. This policy is a starting point, not legal advice. Have a lawyer review it, fill in the highlighted details, confirm it matches what you actually collect and use, and remove this notice before launch.
Napmap helps families find childcare. This policy explains what personal information we collect, why, and the choices you have. It applies to napmap.ca and related services (“Napmap”), operated by [legal entity name] (“we”, “us” or “our”).
1. Who is responsible
We are responsible for personal information under our control. Our privacy officer is [name]. You can reach them at [privacy email] or [business address].
2. What we collect
When you sign up to hear about our launch, we collect:
- your email address and whether you’re a parent or a daycare provider;
- your name, if you choose to give it;
- parents: your neighbourhood or postal code, if you choose to give it, and the listing you signed up from, if any;
- providers: your daycare’s name, if you choose to give it;
- the consent wording you agreed to and when you agreed;
- the country your connection comes from, as reported by our hosting provider, to help us spot spam.
When you visit the site, our hosting provider, Cloudflare, processes technical information such as your IP address, browser type and the pages you request. This is needed to deliver the site and protect it from attacks. We don’t use advertising cookies or third-party tracking tools.
On your device only: daycares you save with the heart button are stored in your own browser. They are not sent to us, and you can remove them by clearing your browser’s site data.
We don’t ask for information about your children, and we ask that you don’t include it in sign-up fields.
3. How we use it
- to email you about Napmap’s launch and, for providers, about listing your daycare;
- to understand which neighbourhoods have the most demand, so we know where to focus;
- to keep a record of your consent, as required by Canada’s anti-spam legislation;
- to keep Napmap secure and prevent abuse.
We don’t sell your personal information, and we don’t use it for purposes other than these without asking you first.
4. Consent and unsubscribing
We only email you if you tick the consent box. Every email we send includes a link to unsubscribe, and we act on unsubscribe requests within 10 business days. You can also withdraw consent at any time by emailing [privacy email].
5. Who we share it with
We share personal information only with service providers that help us run Napmap, and only as needed for that work:
- Cloudflare, which hosts the website and stores sign-up information;
- [email service provider], which we use to send emails, once launch emails begin.
These providers must protect your information and may not use it for their own purposes. We may also disclose information if the law requires it.
6. Where it’s stored
Our service providers may store or process information outside Canada, including in the United States. When that happens, the information is subject to the laws of that country, and authorities there may be able to access it. We choose providers that protect information to a standard comparable to Canadian law.
7. How long we keep it
We keep sign-up information until you unsubscribe or ask us to delete it, or until it’s no longer needed for launch updates. We review our list at least once a year and delete information we no longer need.
8. How we protect it
All traffic to Napmap is encrypted with HTTPS. Access to sign-up information is limited to the people who need it to run Napmap, and accounts with access use strong authentication.
9. Your rights
You can ask to see the personal information we hold about you, correct it, or have it deleted. Email [privacy email] and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada. If you live in Quebec, you can also contact the Commission d’accès à l’information du Québec.
10. Changes to this policy
If we change how we handle personal information, we’ll update this page and the date at the top. If the changes are significant, we’ll tell people on our email list before they take effect.
11. Language
This policy is available in English and in French. Lire la politique en français.
